The Storage screen in System Settings → General → Storage is the first place most people look when a Mac says it's running low on space, and it's a reasonable place to start. It's also, by design, not built to answer the deeper question that sends most people looking for a third-party tool in the first place. Understanding exactly what it does and doesn't do saves time before reaching for something else.
What it does well
The Storage screen's category breakdown — Applications, Documents, Photos, Messages, and so on — gives a genuinely useful first read on where space has broadly gone, especially for categories tied directly to a specific app's data: a large Photos library, or years of Messages attachments, show up clearly and proportionally. For someone whose storage problem really is "I have an enormous Photos library," this view answers the question outright with no further tool needed.
The Recommendations section beneath the main breakdown offers a small number of genuinely safe, one-click actions: enabling automatic Trash emptying after 30 days, removing watched TV and movie downloads, and — usefully — a Reduce Clutter view that opens a Files browser sorted by size, which is closer to a real storage tool than anything else built into the category breakdown.
Reduce Clutter's real value and its limits
Reduce Clutter is worth using on its own terms: it surfaces individual large files across your Mac, sorted by size, which catches a category of problem (a forgotten large download, an old disk image) that the category pie chart alone doesn't reveal. It's a legitimate first pass and costs nothing to run.
Its limitation is scope. It generally surfaces files, not folders — so it won't show you that a node_modules tree made of thousands of individually small files adds up to several gigabytes, because no single file in that tree is large enough to appear in a large-files list. It also doesn't descend meaningfully into package-style bundles, so a large .fcpbundle or app container shows as one item rather than revealing what inside it is actually taking the space.
System Data: the category that explains nothing
The single biggest gap in the built-in Storage screen is the System Data category, which on many Macs — especially developer machines — grows to be the largest single slice of the whole breakdown, sometimes tens of gigabytes, with no further detail offered anywhere in the interface. It's a catch-all: caches, Xcode build products, Docker's virtual disk, browser data, APFS local snapshots not yet reclaimed, and a long tail of other things that don't fit neatly into the named categories above it, all bundled into one unexplained number.
There's no button in System Settings that breaks System Data down further. You cannot click into it the way you can click into Applications or Photos. This isn't a bug — it reflects that many of the things inside System Data are internal implementation details (caches, snapshots) that Apple's own interface doesn't consider worth exposing structurally — but it does mean the category that's most often the actual source of a storage problem is also the one the built-in tool explains the least.
No folder-level view of your own files
Beyond System Data specifically, the Storage screen has no general-purpose "show me a map or list of every folder on this drive, sorted by size" view — which is precisely the feature that visual storage tools and command-line tools like du exist to provide. If your storage problem is a large project folder buried several directories deep, rather than something tied to Photos, Mail, or one of the other named categories, the built-in screen has no path to finding it beyond the limited large-files view in Reduce Clutter.
Why the calculation itself can take a while
Anyone who has opened the Storage screen on a fairly full drive has likely noticed the categories take a noticeable amount of time — sometimes upward of a minute — to populate, with a loading indicator in place of numbers in the meantime. This reflects the same underlying reality covered elsewhere in this series about scan speed generally: producing an accurate breakdown by category requires walking a meaningful portion of the filesystem, and that work takes real time proportional to how much is on the drive, regardless of which tool is doing the walking. It's worth waiting for this calculation to finish before drawing conclusions from the screen — an in-progress calculation can show partial or shifting numbers that settle once complete.
The Storage screen doesn't distinguish stale caches from active ones
Even within categories the screen does show clearly, like Applications, it doesn't tell you which applications you've actually used recently versus ones sitting untouched for years, taking up space without providing any current value. This is a general limitation rather than one specific to System Data — the screen shows you what exists and its rough category, but very little about whether it's still relevant to how you use the Mac today. Cross-referencing size against last-used or last-modified date is something you'd need a more detailed list or folder view to do, which loops back to the same gap already discussed: no general-purpose, sortable, folder-level view exists in the built-in tool.

None of this makes the built-in screen useless — it's a reasonable, safe first step, and the Recommendations panel specifically is worth running before reaching for anything else. It's just built to answer a narrower question than "where exactly did my space go," and System Data's total opacity is the specific gap that sends most people searching for a dedicated storage tool.
